Before you start
Time tracking has to be switched on twice: once for the workspace by a manager, and once by you. If you don't see Timesheet in the sidebar, see Setting up your personal timesheet (opt-in, rate, currency).
Starting a timer
There are two ways to start one:
- On a ticket or project card. Use Start timer next to the ticket's title (or on the card). The timer is linked to that ticket or card. The same control turns into Stop timer while it runs.
- From the top bar. Click Start timer at the top of any page. Search for a ticket, project or category, pick one from Recent, or type a custom label ("Research", "Planning") and press Enter.
While a timer runs, the top bar shows a pill with a green dot, what you're working on (for example HD-1234 · Parcel not delivered), the time counting up, and a stop button.
You can run one timer at a time. To switch tasks, stop the running timer first; Start timer elsewhere stays greyed out until you do.
Adding time by hand (Day view)
Open Timesheet in the sidebar; the Day tab lists today's entries with their start and end times and duration. Use the Add entry panel on the right to add time you didn't run a timer for, in one of three ways:
- Time range: a start and end time.
- Duration: a number of minutes.
- Right now: start the clock from the form.
Then choose what it's for under Attach to (a project, ticket, category or custom label; see Linking time to tickets, cards, projects, categories and custom labels), add an optional description, and click Add entry.
Click any entry to change its times, what it's attached to or its description, or to delete it.
The Week view
Week shows your week as a calendar, opening at the start of the working day. Entries are coloured by kind: tickets, project work and categories. In the calendar you can do three things:
- Drag an entry to move it to another time or day.
- Drag its top or bottom edge to change when it starts or ends. Times snap to 5 minutes.
- Click an entry to edit it.
The total logged for the week, and what it's worth at your charge-out rate, is shown at the top.
Generate my day
Forgot to run timers? Generate my day under a date builds draft entries for that day from what you did in IntelliDesk (the tickets you replied to and the cards you worked on). Review the drafts, then accept or discard the day. A manager can let trusted agents skip the review (auto-accept).
Pomodoro focus sessions
Turn on Pomodoro in Settings → My Time Tracking and a Focus button appears on tickets and cards. A focus block (25 minutes by default) counts down in the top bar and logs the time against that ticket or card when it finishes. If you stop early, it logs the time you actually worked. Breaks (5 minutes by default) are never logged. You can change both lengths and have the next focus start automatically.
Reports and submissions
- Reports: your time for a period (this week, last month and so on), with charts by type and by day and a table grouped by ticket, card, project or category, including amounts at your rate.
- Submissions: send a period's time to your manager for approval. See Submitting, editing and resubmitting a timesheet.
- Team (managers only): the team's submissions to review.
If you walk away
If your timer gets no activity for the workspace's idle threshold (10 minutes by default), IntelliDesk does what you chose under When idle in your settings: it asks you what to do, pauses the timer, or ignores the gap.
