Importing cards from Trello

If your team has been planning work in Trello, you can copy those cards onto an IntelliDesk project board: descriptions, due dates, labels, checklists, comments and uploaded files included. The import copies cards; it doesn't change anything in Trello.

Step 1: Connect Trello

  1. In Trello, get an API key and API token from trello.com/power-ups/admin.
  2. In IntelliDesk, go to Settings → Integrations.
  3. On the Trello card, enter the API Key and API Token, then click Connect Trello. The card changes to Connected.

Disconnect removes the saved credentials. Cards you've already imported stay where they are.

Step 2: Pick what to import

Click Import Cards and work through the steps:

  1. Workspace: pick the Trello workspace.
  2. Board: pick a board. Only open boards are listed; archived (closed) boards aren't.
  3. Lists: tick the Trello lists you want, then Load Cards.
  4. Cards: every card in those lists is shown, all ticked, with its list, labels, due date and checklist count. Untick anything you don't need.

Step 3: Choose the destination

Click Choose Destination and pick one:

  • Add to existing project: choose the project.
  • Create new project: enter a Project name (for example "Trello Import").

Click Review Import, check the summary, and click Import N Cards. Keep the window open until it finishes; it then shows how many cards were imported, and any errors.

What doesn't come across

  • Which list a card was in. All imported cards land in the To Do stage. Move them across the board afterwards, or import one list at a time into the right place and move each batch.
  • Members. Cards arrive unassigned; assign them in IntelliDesk.
  • Link attachments (links to web pages or other files). Only files uploaded to Trello are copied.
  • Cards with no name are skipped.

Importing the same card twice

Cards you've imported before are labelled Already imported in the list, and the summary warns you. Unlike the Zendesk import, the Trello import doesn't skip them: importing them again creates a second copy. Untick them unless you want a duplicate.

If something goes wrong

  • "No workspaces found. Check your Trello credentials.": the key or token is wrong, or the token has no access to any workspace. Disconnect and connect again with a fresh token.
  • "No open boards found.": the workspace has no open boards.
  • Errors listed per card (Card …: …): those cards weren't imported. The rest were. Untick the imported ones and try the failed cards again.
