Exporting your data from IntelliDesk

Your data is yours. You can download your tickets, contacts, companies, reports and project cards as spreadsheets at any time, including while your workspace is read-only after a trial or subscription ends.

Tickets (CSV)

  1. Open the Inbox and set the filters for the tickets you want (desk, status, assignee, tags, date and so on).
  2. Click Export CSV in the toolbar. The button shows how many tickets are loaded, for example Export CSV (128), or Export CSV (50+) when there are more than you've scrolled to.

The file has one row per ticket with: ID, Subject, Status, Priority, Type, Contact, Email, Company, Helpdesk, Assignee, Tags, SLA state, Last activity and Due date.

Good to know:

  • It exports the tickets in your current view, so check your filters first. To export everything, pick the All view and clear the other filters.
  • You don't need to click Load more first: the export fetches the whole view for you, not just the tickets on screen.
  • Very large views are capped at the first 500 matching tickets. If you see "Showing the first … matching tickets. Refine filters to narrow the result set.", export in smaller batches, for example one desk or one date range at a time.
  • The CSV is a list of tickets, not the conversations. Messages and notes aren't included.

Contacts and companies (CSV)

On Contacts or Companies, search or filter the list if you like, then click Export CSV. The export includes every matching contact or company, not only the ones loaded on screen.

  • Contacts: Name, Email, Company, Total tickets, Open tickets, Last seen.
  • Companies: Name, Domain, Contact count, Ticket count, Open tickets.

Reports (CSV)

Every report under Reports (Volume, Backlog, SLA, Agents, CSAT, Chat, Customers, AI & automation and the Monthly summary) has an Export CSV button in the report header. It downloads the tables that report shows, for the period and desk you've chosen, with a short About this export section at the top saying which report, period and desk it covers. Project cards (Excel)

Click Export on a project board, or Export all on the Projects list, to download the cards as an Excel workbook. See Exporting project cards to Excel.

Everything else: the API

For a complete copy, including ticket conversations, use IntelliDesk's REST API with an API key from Settings → Developer. See IntelliDesk's APIs: REST and MCP.

Leaving IntelliDesk

If you're cancelling, export what you need while the workspace is still readable. After a subscription ends, the workspace stays readable, so exports keep working, for 14 days before it locks. See How do I cancel my subscription, and what happens to my data?
