Workspace admin

How do I cancel my subscription, and what happens to my data?

Updated

You can cancel IntelliDesk at any time. There are no contracts and no cancellation fees. Only an organization admin can cancel (see Subscribing, changing your card and finding invoices).

Cancelling

  1. Go to Settings → Billing and click Manage in Stripe.
  2. On Stripe's billing page, cancel your subscription.
  3. Return to IntelliDesk.

The subscription runs until the end of the period you've already paid for, so you keep full access until then. Settings → Billing shows a Subscription ending notice with the date, for example "Your subscription ends on November 30, 2026."

Changed your mind? Until that date, you can reactivate the subscription from the same Stripe page and nothing changes.

Cancelling during a card-on-file trial. If you added a card when you signed up, cancel the same way before the 90-day trial ends and you won't be charged.

What happens after it ends

  1. Read-only for 14 days. When the paid period ends, your workspace becomes read-only. Everyone can still sign in and see every ticket, contact, project and report, but nobody can reply or make changes. A banner across the top says "Your subscription was cancelled — resubscribe to make changes. You can still view your data." with a Resubscribe button, and trying to change something shows "Your subscription was cancelled — resubscribe to make changes." This is the time to export anything you want to keep (see Exporting your data from IntelliDesk).
  2. Then locked. After 14 days the workspace is locked, and trying to change anything shows "Your workspace is locked — subscribe to regain access."

If Stripe ended the subscription for another reason (for example, payments that couldn't be collected), the message is "Your subscription has ended — resubscribe to make changes."

Cancelling doesn't delete anything straight away. Your customers can still reach you while the workspace is read-only or locked: new email, portal requests and website-form messages keep arriving as tickets.

Coming back

To start again, an organization admin opens Settings → Billing. It shows Your subscription has ended with a Subscribe again button and the monthly price.

  • Subscribe again takes you straight to Stripe's checkout. Billing starts immediately: there is no new free trial after a cancellation.
  • Once Stripe confirms the payment, your workspace is Active again, exactly as you left it: tickets, contacts, projects, settings and history are all still there.

Getting your data deleted

Our Terms of Service and Privacy Policy say that after an account is closed, its data is available for export for 90 days and is then permanently deleted. To close your account and have your workspace's data deleted, or to ask what we hold about you, email privacy@intellidesk.co from an organization admin's address. See Where is my data stored, and how is it protected? for your privacy rights.

Leaving without cancelling

If you're a teammate rather than the admin and simply want to stop using a workspace, you don't need to cancel anything. Ask a manager to remove you (see Removing someone from your team, and what happens to their tickets).
