Workspace admin

How long is the free trial, and what happens when it ends?

Updated

Every new IntelliDesk workspace starts with a 90-day free trial with every feature switched on. Nothing is locked behind a higher plan, so what you try is what you get when you subscribe.

Keeping track of your trial

  • A Trial · 45 days badge sits at the top of the screen, next to the page title. It turns amber in the last 14 days and red in the last 3. Click it to go to Settings → Billing.
  • Settings → Billing shows Trial period and the exact number of days left.
  • In the last 14 days, organization admins also see a Subscribe · 12 days left button at the bottom of the sidebar.

Limits during the trial

The trial includes everything, with two limits:

  • Up to 5 agents. See Plans and pricing: what IntelliDesk costs and what counts as an agent.
  • 50 emails to customers a day. Trial workspaces can send up to 50 outgoing emails in any 24 hours, to stop IntelliDesk being misused for spam. If you reach it, you'll see "Trial daily send limit reached (50/day). Subscribe to remove the cap, or wait ~5h for the window to reset." Subscribing removes the limit straight away.

What happens when the trial ends

If you haven't subscribed by the end of the 90 days:

  1. The workspace becomes read-only for 14 days. You and your team can still sign in and see every ticket, contact and project, but you can't make changes: you can't reply, create or edit tickets, or change settings. A banner across the top says "Your trial has ended — subscribe to make changes. You can still view your data." with a Subscribe button, and Settings → Billing shows Grace period with the days left. If you try to change something, you'll see the same "Your trial has ended — subscribe to make changes." with a Billing button that takes you to the billing page.
  2. After those 14 days, the workspace is locked until you subscribe. The banner changes to "Your workspace is locked — subscribe to regain access. You can still view your data." and trying to change something shows "Your workspace is locked — subscribe to regain access."

The banner always says why the workspace is read-only. If it lapsed for another reason, it says so instead: "Your last payment failed — update your payment method to make changes." (see Subscribing, changing your card and finding invoices) or "Your subscription was cancelled — resubscribe to make changes." (see How do I cancel my subscription, and what happens to my data?).

A few things keep working while the workspace is read-only or locked, so you can pay and wind down tidily: subscribing, your personal notification settings, stopping a running timer, and disconnecting mailboxes and integrations. Your customers can also still reach you: new email, portal requests and website-form and widget messages keep arriving as tickets.

Your data isn't deleted when the trial ends. Subscribe at any point, during the read-only period or after the lock, and everything is back to normal immediately, exactly as you left it.

If you added a card when you signed up

Workspaces created with a personal email address (Gmail, Outlook.com and the like) add a card before the trial starts (see Why am I asked for a card when I sign up?). For those workspaces there's nothing to do at the end of the trial: the card is charged for the base plan when the 90 days are up and the workspace carries on without interruption. To stop that, cancel before the trial ends (see How do I cancel my subscription, and what happens to my data?).

Subscribing before the trial ends

You can subscribe at any time from Settings → Billing → Subscribe Now. Billing starts from the day you subscribe: unused trial days aren't added on to your first billing period. If you'd like the full 90 days free, subscribe towards the end of the trial.

Only organization admins can subscribe. See Subscribing, changing your card and finding invoices.
